If there are enough kids - dessert can be a cake from Longo's or Fortinos. It is always special - can inscribe CD and good photo op.

Also, it is imperative that those that spend money - must not be stuck with collection and IOU's. Therefore, money must be collected beforehand.

I did not see anything about booking. What about seating? Tables for laying down food and cutlery and drinks etc?

Most parks have BBQ area/party areas that can be booked for reasonable amount. It makes the picnic more fun since there is a natural central meeting area to move towards - especially with/for kids.

Hi CD friends,
I see we have finalised on the menu, can I suggest, to add Idli (Nilgiris )-chatni in the menu,
I have religious food restrictions, (Hiren knows, of it, as we follow the same religion ) and shall not be consuming any of the food items mentioned.
I dont mind contributing to the individual cost, and I volunteer to bring the Idli ,with homemade coconut chutney,
I shall need what numbers of Idli shall I bring ?
Looking forward to meet you all ..............

When calculating amount - you should have 2 columns - for food calculate per person cost and multiply by no of people so that the total appears in the second column - and for all other items you can have a total cost in the second column
That way - when you divide the total amount for the second column by the no of people - you will have the cost per person. Plus - you only have to change the variable (no of people) each time - to account for any last minute changes in attendees.

As regards special request for food - perhaps you need not contribute to the food cost and get food for yourself/family. It might be simpler than adding another item for so many people - which will also increase cost.

In a large group - it is always easy to go by the majority and keep it simple. Which is why the menu is for 2 items - and only vegetarian.

But that's a suggestion only. If others agree and feel it is feasible - then that should be perfect ☺️

Thanks Geeta Khanna... very valid points... Costco cake is also good ... though not vegetarian .. Will keep this option open.

Regarding seating , everybody should bring their own chairs or be prepared to sit on grass / mats ..

Picnic tables in the park will be used for keeping the eatable stuff.

Booking is good but not necessary to have a picnic in the park ..At each picnic area there are reserved tables and un reserved tables on a first come first serve basis... I shall check out Centennial Sunday in this aspect and update.

We cannot charge beforehand from members only on that day.. Total divided by number of adults will work out ..No IOUs ... Bookkeepers to get some extra loonies - 20 or so to simplify and ease the transactions.... It is imperative that members confirm their presence 2 days before ..no tentatives please ..

Peacock1 - your diet restriction is respected ... Please feel free to get idlis & chutney ... for yourself ..I suppose you are coming alone.

On a similar note folks , should we replace biryani with idlis for every one ?

People who prefer rice please advise if you d prefer idli or veg biryani .... and update the spreadsheet to this effect. Leave blank if no preference.

Thanks Geeta, valid suggestions. Multiplication will be our next exercise once we have all items and quantity finalised and registered in worksheet.
On lighter note, We do want to see that we are buying 32 watermelons. That will be one hell of a picnic ! LoL.
