Help require for employer letter, if company doesnt have.

Hello,

As per Visa Office Specific Instructions guide, below line are mentioned there regarding work experience.

7. WORK EXPERIENCE
For you and your spouse or common-law partner:
• notarized employment contracts from your present and past employers,
accompanied by an English or French translation
• original and up-to-date letters of reference from your past and current employers.
Letters must be written on company letterhead and show the company’s full
address, telephone and fax numbers, and be stamped with the company’s official
seal.
Letters must include all of the following information:
• the specific period of your employment with the company
• the positions you have held during the period of employment and the time spent
in each position
• your main responsibilities in each position
• your total annual salary plus benefits
• the signature of your immediate supervisor or the personnel officer of the
company
• a business card of the person signing
If you cannot provide a reference from your current employer, provide a
written explanation.

I had a discussion with my company HR and other concern persons regarding company employer letter, where they have mentioned my job positions and main responsibilities. Unfortunately, they can’ provide the same (due to company policy) and not provide any letter to mention that why they are not able to provide this kind of employer letter.

They have another letter called employer letter. This letter has current job position, date of joining etc (Not Responsibilities) information.

If you refer this line ‘If you cannot provide a reference from your current employer, provide a written explanation' from above Visa Office Specific Instructions guide. they have mentioned about written explanation.

Now my questions are
1. What kind of written explanation letter has to provide from applicant, to support his application?
2. Any other way to support his application such as two letters form current and previous managers along with their business cards. Will this make difference?
3. Applicant self explanation letter (mentioned job position and responsibilites) along with his business card. Will this make difference?

Please advice me.

I can understand the rigid structure of your company. I would suggest to get whatever letter you can get from your company - from proper authorized person on proper letterhead, etc, etc, etc.

And, along with this letter include your personnel letter including any details that are required, but not included in your company letter. Finally, mention your manager (or any similar authority) full name, designation and contact information. And specify to contact that person for further details. (I understand this is bit strange)
Best case scenario would be to have this piece of information included in your company's letter itself. Usually, any HR generated document should have this line "For additional please feel free to contact blah blah blah .... "

Keep your manager/that authorized person in your confidence. And don't burn bridges while leaving your job.

I am doing same things because I am not getting require employer letter from my company.

I can provide other letters such as
1. Company offer letter – Contain my Date of Joining and my previous job title
2. Salary Certificate - Proof of employment (Date : Current Date)
3. Promotion Letter with annexure – Details of current salary components
4. Latest 3 months Salary slips – Current month, 2009
5. My Explanation letter & My Business Card – Showing my job title in company
6. Letter from my previous manager and his Business card
7. Letter from my current manager and his Business card.
to support my application. I am hopinng

Are you in India? To apply for credit cards/loans etc. in India, banks require a employment verification letter from the company.. probably addressed to bank manager etc. Get one of that from your HR... Keep that with a letter explaining your situation and recent paystubs and bank statements showing salary credit. That should be sufficient.

From the current employer :

You should get the Contract and get it attested. That is what they are looking for. If it has the duties of the job specified, then, you will satisfy their requirements. Otherwise a letter from the manager with his card specifying the duties called for by the job and any other functions that you are doing over and above the call of duties of the job. Also the three monthly pay stubs that you can copy and attest. If you cannot provide any of these, then, a letter from you with your card attached and the reason for not being able to comply and then NOTARIZING the same.

As for the previous employers : You must have the contract and the description of the job that you were doing while working for them on their letter head from the HR Department. If not on you, then a letter from some one higher up, such as the Manager, who can provide you with one containing all of the details of the job and the reason why the company cannot or will not provide you with one. If they have never done for any one, then state that as a fact. You must also have his visiting card that gives his rank and qualifications in it.
Then you furnish them with a written explanation, which is that they never do it for anyone, and then get the same notarized as called for. Also attach your card with your designation to it.

If you got any promotions at work, then the date of promotion with the job description and the duration of it or as in continuum in that post with salary and benefits that go with it. Once again notarized.

If the Manager who is providing you with this letter is not written on a company letter head and it does not contain the phone and fax numbers, you should add the same to the explanation letter, with reasons that you are providing and submit them with the missing data in it. That is a must.

The details I am providing to you are the alternatives that they are looking for and it is in their letter to you. If you do not have one then they will settle for the alternate with your covering letter with explanations and with your sworn statement. (Notarizing it).

If you want to know, they already have some or all of it or will get the same from the current and previous employers of yours and verify all of these before their approval and they have all of the means at their disposal to do it. So, please make a very good attempt by contacting them over the phone by paying for the calls, if it is Long Distance and making a fervent request in WRITING and keep a copy of the same for your files and if they call you for the interview, then produce them with copies and phone bills to show them. That is going one step further and CYA,
